The Administrative Coordinator will lead our donor care efforts by facilitating the daily donation and receipting processes. They are the point of contact for questions or concerns regarding donations and donor records. They will coordinate our team’s donor communications by organizing marketing resources or interfacing with our community partners. This role will also provide support for the development team with projects and events as assigned by the Donor Services Manager.

To serve as a member of the Development Team

  • Meet regularly with Development Team to collaborate on ministry efforts.
  • To support our donor services team.
  • Show excellent customer service to serve our donors.

  • Support the development team’s donor data needs.
  • Act as representative of the Mission by demonstrating our values.

To support financial donation processing  

  • Provide support and backup for our daily financial processing
  • Record direct debit donations into the donor database when notified by accounting
  • Act as primary contact regarding processing questions elevating to Donor Services Manager, as necessary
  • Follow established procedures to maintain the quality and security of donor data
  • Maintain the 3rd party payee account spreadsheet and logins.
  • Enter the SDRM Employee donations into the database when notified by payroll
  • Produce receipts and acknowledgement letters as needed  

 To facilitate donor care efforts

  • Practice excellent customer care while interacting with donors through all channels of communication
  • Assist donors to resolve their questions or concerns
  • Maintain and organize the supply of needed donor communication material.
  • Coordinate with marketing and direct mail houses for planned communication touches
  • Maintain and execute the planned donor communication strategies
  • Take donors on informative tours of the 120 Elm St facility sharing the impactful work at the Mission while answering questions

To support donor data integrity

  • Assist with maintaining the donor relationship management database by completing assigned projects
  • Update donor information within the donor database
  • Troubleshoot problems, help improve overall processes, and ensure deadlines are met even during periods of heavy gift volume
  • Produce reports following established procedures and complete by set deadlines  
  • Perform global actions for donor communications

Support the Development Team and Mission.

  • Administrate necessary account information for the development team.
  • Will be trained and expected to master database functions including queries, mail merges, import and exporting of data.
  • Will assist accounting with needs around donations or receipt records.
  • Provide support to marketing or donor relations as assigned by DSM.
  • Support at San Diego Rescue Mission events as needed.

Skills / Requirements

Education: Minimum of GED or Highschool Diplomas, Preferred some college.

Experience: Minimum 2 years of work experience in a related field either data entry, reception, or customer service focused.

Skills and Abilities: Working knowledge of office methods, procedures, and practices; Provide excellent customer service (written, on the telephone and in person); Ability to perform standard arithmetic functions; Competence in understanding, interpreting, and communicating procedures, policies, information, ideas and instructions; Working knowledge of MS Office (Word, Excel, Access, Outlook); typing (min 35 wpm); coordinate and/or direct a variety of complex tasks and assignments simultaneously and successfully; exercise good judgment and make sensible decisions; attentive to detail; prioritize effectively; effective oral and written communication skills; eagerness to learn and be trained; work both independently and as part of a team; provide information to public by answering questions and requests; regular, timely attendance.

Pay: $20.00 - $22.00
